About Help
This help window provides a description of the operation of the WebKIDSS program. When you click the 'Help' button from any of the screens of the WebKIDSS program, a separate window opens to display the help content.
Use the index in the left frame of this window to position to the various topics that are displayed in the right frame.
This help window may be left open all the time. To leave it open and resume the functions of the WebKIDSS program, just click on the WebKIDSS window and it will come to the front of your screen. This help window will be behind the main screen. You can choose to close the help window by clicking in the 'Go Away' box of the window. Also, the help window may be resized and/or moved.
Program Timeout
All screens within the WebKIDSS program are subject to a timeout. If you do not click one of the screen buttons (except 'Help' or one of the Manual buttons) or on a link from the main menu page, you will be timed out of the program and will need to log back on. Merely typing data into fields on a screen will not prevent timeout. You must click on one of the buttons.
There is a countdown display in the bottom status line of your browser which indicates how much time you have left on a particular screen. Also, when less than two minutes remain, an alert will display in your browser window.
When editing student data, if you are nearing timeout and have not completed typing on a page, click the 'Save' button. Your data will be saved and you will be returned to the same layout page with the timeout period reset.
Please note: the timeout display and warning dialog are based on an approximate time lapse according to your browser. The real timeout value is kept by the web server and may not agree exactly with the display in your browser. Therefore, to be safe, always try to save data on a screen before the time gets lower than 2 minutes as indicated by the warning dialog.
Program timeout is also in effect when displaying reports, when selecting students for the KIDSS import, and even when you are just displaying the main menu page.
Selecting Students to Edit
If you are using the WebKIDSS program as a teacher, you will be given the option of accessing either all students or selected individual students that have you listed as a provider on one or more of their service lines. The selection of multiple students is accomplished by clicking on student names in the scrolling list while holding down the Command Key (Mac) or the CRTL Key (Windows).
If you are using the WebKIDSS program as the Administrator or Data Clerk, then you have several options of which students to select for editing. This includes all students, all students for a particular provider, selected individual students, or students resulting from a search of the database.
Standard Buttons on Student Entry Screens
A varying number of buttons will appear at the top of each student entry screen. The standard buttons are:
- Help - a button used to access this online Help system.
- Notes - a button used to leave a "sticky" note for yourself or someone else. This message stays with the student and does not print out anywhere. If there is a sticky note for a student, a small yellow icon will appear to the left of the "Notes" button. Clicking on "Notes" will access that student's note. To erase a message, select "Notes" and then highlight the entry and click "Delete".
- User Manual - a button used to display the online Teacher Manual. Click here and then check out the index of screens and menu items. Select the one that you desire more information about and the information will appear on the right side.
- Student List - a pop-up list of students' legal full names. Click on the list, but do not release the mouse button, to see the entire list and then release the mouse button while the cursor is positioned on the name of a student you wish to go to. If you decide not to go to a new student, release the mouse button with the cursor outside of the list. This list will not display if you are entering a new student. Note: on some browsers, this pop-up list may appear as a scrolling list that will display when the arrow at its right edge is clicked. It will disappear when the arrow is clicked again.
- Letter List - a pop-up list of first letters of students' legal last names. This list will only display if there are more students than are specified as the maximum for display in the Student List. If this list does not display, then all students are listed in the Student List. Click on the list, but do not release the mouse button, to see the entire list and then release the mouse button while the cursor is positioned on a letter to go to the list of students whose legal last name begins with that letter. If you decide not to go to a new letter, release the mouse button with the cursor outside of the list. This list will not display if you are entering a new student. Note: on some browsers, this pop-up list may appear as a scrolling list that will display when the arrow at its right edge is clicked. It will disappear when the arrow is clicked again.
- Prev Student - a button that will take you to the student previous to the current student. This button will not display if only one student exists in the Student List. This button will not display if you are entering a new student.
- Next Student - a button that will take you to the next student after the current student. This button will not display if only one student exists in the Student List. This button will not display if you are entering a new student.
- Layout List - a pop-up list of entry layout pages. Click on the list, but do not release the mouse button, to see the entire list and then release the mouse button while the cursor is positioned on the layout name you wish to go to. If you decide not to go to a new layout, release the mouse button with the cursor outside of the list. Note: on some browsers, this pop-up list may appear as a scrolling list that will display when the arrow at its right edge is clicked. It will disappear when the arrow is clicked again.
- Prev Page - a button that will take you to the previous page while continuing to display the current student. This button will not appear when you are currently on the first page (Demographics).
- Next Page - a button that will take you to the next page while continuing to display the current student. This button will not appear when you are currently on the last page (Anticipated Services Chart).
- Save - a button that will save the contents of the current page and return to that same page. Use this button frequently if you are taking a long time to type the information on a page. This button will not display if you are accessing a student record that is locked (i.e., another user is making changes to the same student).
- Done - a button you must click when you wish to exit editing students. Clicking this button will cause the data for the student to be saved and will release the student for others to access.
In addition to these standard buttons, there are screen specific buttons whose actions are described on the specific screen descriptions help sections.
Descriptions of Student Entry Screens
There are a total of 32 possible screens that may be used for Student Data Entry. Of these, there are six screens that always appear and may not be renamed. These are Demographic, Parent Data, School Data, Dates, Goals/Benchmarks, and Anticipated Services Chart. The other 26 screens are all optional (district preference) and may be renamed. Those 26 screens are all identical in appearance and in function and will be described below as All Other Screens.
- Demographic - Normal demographic data for a student. The SSN for each student must be unique. Aux ID is an optional field (district preference). The 'Delete Student' button may or may not display on your screen (district preference). It will always display for the Administrator and for anyone creating a new student.
- Parent Data - The parent data screen contains four buttons that will display dialogs for the selection of states and the county of residence. A data entry field is provided for each of these fields so you can type in a value. Use the buttons only if you cannot remember the exact 2 character abbreviation for a state or a county. If you click the 'Lookup...' button, a dialog will be displayed. To select a value, scroll the list to a value of your choice, select the value by clicking on it, and then click the 'OK' button. If you decide not to select a value, click the 'Cancel' button.
- School Data - The school data screen contains buttons for selecting buildings and the Assign Child Count value (either an LEA or a building). A data entry field is provided for each of these fields so you can type in a value. Building names and associated LEAs are automatically entered for you (when the screen is saved) when you type a building number. If you use the buttons to lookup a building number, the building name and LEA will be supplied and displayed when you return to this screen. Use the buttons only if you cannot remember the exact building number or LEA number (for the Assign Child Count field). If you click the 'Lookup...' button, a dialog will be displayed. To select a value, scroll the list to a value of your choice, select the value by clicking on it, and then click the 'OK' button. If you decide not to select a value, click the 'Cancel' button.
Agency defined fields appear at the bottom of the screen if your district has elected to use them. There may be none, one, two, or three fields for entry of district specific information.
- Dates - The dates screen contains two buttons. Click the 'Set IEP Date / Status' button to change the educational status and the IEP date. This will display a dialog listing the six most recent dates/statuses and will have space at the top of the dialog for entering a new status and date. Of those seven dates/statuses, only the six most recent ones will be saved. Click the 'Set Exit Date / Status' button to specify an exit status and exit date.
- Goals/Benchmarks - This screen is by far the most complicated of all the data entry screens. It displays a single goal and a single benchmark/objective for that goal at a time. To see other goals or benchmarks/objectives, click the numbered buttons to the right of the goal or benchmark/objective text. These numbered buttons will not appear if you have no goals or no benchmarks/objectives for a goal.
Other buttons that may or may not appear are 'New', 'Delete', 'Del All', and 'Renum'. The 'New' button will always appear unless you have already reached the maximum number of goals (9), or the maximum number of benchmarsk/objectives for a goal (7). The 'Delete', 'Del All', and 'Renum' buttons will appear only if a goal or benchmark/objective is being displayed. For example, if you are creating a new student and have not yet entered any goals, the only button you will see will be the 'New' button beside the space for the goal text. The 'New' button will not appear beside the space for the benchmark/objective text until you have created a goal.
Note that the goal# and B/O# fields are not enterable. To change a goal or benchmark/objective number, you must use the 'Renum' button. This will display a dialog that will allow you to change a single number or to renumber all goals or all benchmarks/objectives for a single goal to produce a different ordering.
The 'Lookup Eval Proc' button will display a dialog that allows you to select an evaluation procedure from a preset list. You may also type the evaluation procedure in the text entry field and not use the button at all.
- Anticipated Services Chart - Providers are selected on this screen by the series of buttons labelled 'Px'. Clicking one of these buttons will display a dialog for selection of a provider. Providers may only be selected for lines that have a unique line number. If you click on a button whose line number does not exist, you will be asked to enter a unique line number.
A single line of the chart may be cleared by clicking the 'C' button to the right of the line. Only lines that have a unique line number can be cleared.
The 'Delete All' button will display a dialog asking for comfirmation to delete all service lines for the student. If you respond by clicking the 'OK' button, all service lines for the student will be deleted.
The 'Renumber' button will renumber the current service lines according to the line numbers in the Line column. To reorder the lines, enter unique line numbers representing the new order you wish to see. Then click the 'Renumber' button.
- All Other Screens - The only extra button on these screens is the 'Set to Default' button. Clicking it takes you to a dialog for selecting whether to use the default value for the field. You may choose to replace the current value with the default value; keep the current value and insert the default value before it; or keep the current value and append the default value after it.
Creating a New Student
Select the 'Create a New Student menu item from the WebKIDSS menu to create a new student record. The data entry screens for new student entry are the same as for editing students with the following exceptions:
- The standard buttons are not all present. In particular, the Student List, Letter List, the 'Next Student' button, and the 'Prev Student' button will not display. When entering a new student, you have access to that student only. When finished entering data for the new student, click the 'Done' button.
- The 'Delete Student' button will always display on the Demographic screen when entering a new student. If you decide not to enter a new student after already clicking the 'Create a New Student' menu item, click the 'Delete Student' button instead of the 'Done' button or you will end up with a blank student in your list of students.
Locating a Student
There may come a time when you are sure you have entered a student's record but can not get it to display in your list of students. The data appears to have disappeared. This can occur when you are logged on as a Teacher if your name is not on one of the service lines of the Anticipated Services Chart. This could also happen if you are logged on as an Aux User and your name does not appear in one of the Aux User slots on the School Data screen for the student.
The "Locate a Student" function will allow you to see if the student's record exists anywhere within the database and if it does, will display the list of providers. If you are not on the list of providers (services chart) or not listed in one of the Aux User slots, then you would need to contact your WebKIDSS Administrator to get you access to that student.
Checking Students for Errors
Students may be checked for errors in the data. A check for either MIS errors or general errors may be performed. Selection of students similar to selection for editing is provided. Select this option if you want to get lists of errors to be printed. If you just want to see the errors for a particular student while editing that student, click one of the error check buttons on the student entry screens.
Printing
Five different reports may be displayed in the browser for printing.
- Teacher Information Page
- IEP
- Progress Report
- Procedural Dates Report
- Alpha List of Students
All of these reports allow for the selection of students that you wish to print. For the Teacher Information Page, IEP, and Progress Report, multiple students may be selected and each student's report will display separately so that it may be printed by itself. Then the next student's report can be displayed. For the Procedural Dates Report multiple students may be selected but all will appear in the same report.
Selecting students to print:
Each of the reports (except the Alpha List for Teacher use) present a dialog where students are selected and report parameters are set. The report parameters appear on the right side of the screen; the student selection is on the left. The report parameters must be set before the selection of students.
For Teacher use, the options for selecting students are: 1) select all, or 2) select one or more individual students. The selection of multiple students is accomplished by clicking on student names in the scrolling list while holding down the Command Key (Mac) or the CRTL Key (Windows).
For Administrator use, the options for selecting students also include selecting all students for a particular provider.
Displaying multiple students for printing:
After selection of the report parameters and students to print, the report will display in the browser window for you to print. For the Procedural Dates Report and for the Alpha List of Students, click the 'KIDSS' button at the top of the screen after you have printed in order to return to the WebKIDSS program. For the Teacher Information Page, IEP, and Progress Report, click the 'KIDSS' button at the top of the screen to display the report for the next student, if multiple students were selected. You will be returned to the WebKIDSS program after the last student has been displayed. Click the 'END' button at the bottom of the screen if you wish to stop the display of students and return immediately to the WebKIDSS program main menu.
